When managing a seasonal workforce, an efficient onboarding process is key. Check out how San Diego Zoo took HR paperless to streamline onboarding and improve employee file management.
The San Diego Zoo is coming up on its 100th year in operation. They boast the world's largest zoological membership association and have over 5 million visitors passing through their gates every year. That kind of volume requires some serious manpower. However, due to the nature of zoos, attendance is highly seasonal, and as such, so is the workforce.
Organizations with a seasonal workforce encounter many challenges - one of the biggest being turnover. Hiring new workers takes time. And when you're gearing up for a big season, streamlining that process is incredibly important. You want the best staff possible, but you need to keep the process quick and efficient. Using pen and paper for new-hire paperwork just didn't make sense anymore.
For San Diego Zoo, going paperless in HR would create a number of critical efficiencies for them. Storing employee files in electronic format meant instant document retrieval, increased control over file access, better audit preparation and - most importantly - a paperless onboarding process.
Here's what needed to be done:
- Digitize 87 boxes of paper files
- Come up with a practical electronic file management solution
- Take their employee onboarding process completely paperless
Here are some of the benefits they achieved:
- Reduced time required to file, retrieve and manage employee documentation
- Eliminated the need printing, faxing, signing and scanning new-hire paperwork
- Reduced time needed to complete onboarding forms and collect signatures
According to San Diego Zoo:
"On paper alone the cost savings is in the thousands and possibly the hundreds of thousands when all is said and done. Our goal is to share DocuSign and DynaFile Zoo-wide — to lead the way in making our Zoo a totally digital operation."
